Scheduling & Visits

What should I expect at my initial visit?

The first visit is your lab draw and onboarding with our practice manager. We'll get your specialized lab panel done, walk you through how the practice works day to day, and get you fully set up as a member. It's the foundation everything else is built on.
About two weeks later, you'll sit down with your provider. By then your results are back, so this is a thorough, unhurried visit: a full review of your labs, a deep dive into your history and your goals, and the start of a plan of care built around what your numbers show.

How do I schedule ongoing appointments?

You'll conveniently book via phone or text through our patient care coordinator who is always ready to help!

What Are The Restrictions On Virtual Doctor's Visits?

Your initial visit at Halo Concierge Health must be in person. After the first visit, follow up visits can be conducted by phone or virtually using our secure video channel if you choose. All annual visits are required to be in office.

What is my access to the practice between visits?

For our concierge members, we ensure you're not on your own between visits. 

During office hours, Monday through Friday, 8 to 5, you can call or text the practice with questions, refills, or anything that comes up. Depending on what you need, your message goes to your care team or your provider, and you'll typically hear back the same business day. 

We keep communication inside real working hours on purpose, so the people caring for you are focused and present when they respond.
We also hold a short weekend window for urgent sick-care needs, reviewed by a provider when it's appropriate. 

Outside those times, messages are picked up the next business day. We don't offer 24/7 access, unlimited texting, or on-demand availability, and every member works within the same framework, with no upgraded tiers. 

One important note: this isn't emergency care. If you're ever facing a medical emergency, call 911 or go to the nearest emergency room. For everything else, you'll have a team that knows you and responds with real attention.

Scheduling & Cancellations

There is a 24-hour cancellation policy for all appointments. Canceling within 24-hours will result in a late-cancel fee to your card on file.

No-shows: If you do not show up to a phone, video/telemedicine or in person appointment without notifying the practice, you will be charged a now show fee to your card on file.

Billing & Insurance

We Are Not A Conventional Primary Care Physician

If you are a concierge membership patient, all provider time will be billed through insurance as usual under primary care. 

If you are a wellness or skin health member, insurance is not accepted for visits or services. 

What insurances do you accept?

Halo is in network with all major insurance payers such as Blue Cross Blue Shield, Aetna, Cigna, Medicare, UHC, and Tricare. For concierge members, we bill your insurance for provider time. Membership, labs, and other services and products are not billable to insurance. We will discuss any insurance questions you have on your discovery call.

About Lab Tests

We are contracted with a private lab that does not accept insurance. 

Labs are not included in your membership and are billed separately. We will always inform you of what your panel costs before anything is drawn.

Wherever you begin, the approach is the same. We start with a full assessment, and your physician decides what to address first and in what order. Hormones, metabolism, inflammation, strength, prevention. Whatever yours needs, it's one connected plan, sequenced over time, so you have a team handling the whole picture instead of you piecing it together across five providers.

What Should I Expect From My Discovery Consultation?

We understand choosing the right provider for your proactive care is a big decision. During the free discovery consult, we’ll determine whether partnering with our team is the best next step for you.

We’ll go over any questions you may have about our approach, understanding hormone health and how it differs from what you’ve tried before – so you feel comfortable about the journey ahead.

Do I have to be on medications or supplements forever?

No. Our goal for you is to need less over time.
A lot of care today runs the other way. Something's off, so you get a prescription, then another to manage the first, and the list only grows. We start at the foundation instead: sleep, movement, stress, and the metabolic drivers underneath how you actually feel. Get those right and a surprising amount resolves on its own.

When a medication or supplement earns a place in your plan, it's there to move you forward, not to park you on it indefinitely. We use the least that works, review it regularly, and step it back whenever your body allows. The point is to recalibrate your system, not to build a permanent list.

Some things are worth staying on, because for you they're genuinely the right call. That's a decision your physician makes with you and revisits over time. Either way, you'll always know why you're taking something and what it would take to stop.
